This position is an on-site based out of our St. Louis Park, MN office

About you

Colliers Engineering & Property Services is looking for a candidate who must have excellent communication skills and place customer service as priority with great attention to accuracy and detail. To be successful in this role, the ability to multitask is critical. The Client Services Manager position requires working with the appropriate sense of urgency making sound decisions independently when needed. Coordinating schedules, responding timely to emails, answering the main dispatch phone line, and utilizing existing technology to do so are additional, but not limited to, tasks. A teamwork attitude is a must. Excellent communication skills to collaborate with others under any type of condition.

In this role, you will...

  • As the first point of contact with our clients, ensure high level timely communication and follow through.

  • Receive Service requests via email, phone calls or in person and accurately recording then setting up the pertinent information in Sage software, assigning to appropriate filed technicians.

  • Communicating with field personnel to ensure work is being completed timely and clarifying details for them when necessary. Assist them with prioritizing work assigned to them if needed.

  • Following up with clients on open items such as outstanding proposals utilizing excellent communication and customer service skills, upselling services when the opportunity arises.

  • Running weekly workorder status reports timely and following up on open orders.

  • Setting up contract and proposal workorders required in Sage.

  • Manage preventative maintenance and general contract renewals annually.

  • Update preventative maintenance sheets with pertinent information.

  • Process and send PM reports to clients maintaining tracking spreadsheets.

  • Work with HVAC technicians to provide timelines for clients that need notice prior to service.

  • Provide locations of vehicles and run associated reports when requested, utilizing GPS system. Ensure data is up to date when there are vehicle changes.

  • Various administrative duties are assigned to this position. This would include, but not limited to assisting division managers with requests, as in proofreading proposals and sending to clients, contacting sub-contractors, vendors, or clients on their behalf, working with city offices for permits, placing orders for materials, running requested reports.

  • Proven experience as in a relevant customer service type position

  • Ability to work with a sense of urgency when needed.

  • Tech-savvy with knowledge of relevant methods

  • Accurate experience in data entry

  • Proficient in English (oral and written)

  • Active listener with excellent communication skills

  • Sound judgement and critical thinking

  • They should be accustomed to working in a fast-paced environment with others while multitasking several schedules and priorities at once.
