Position Description

SUMMARY
This position works in the Systems Integration Department of Tierney Brothers, Inc. and provides project coordination, order maintenance and administrative support for System Integration projects. This position does not have any direct supervisory responsibilities.

ESSENTIAL JOB FUNCTIONS AND RESPONSIBILITIES:

• 40% - Project Coordination –Acknowledges Purchase Orders with customers; verifying the site address, parking, site readiness, site contact, and obtaining approval for any direct shipments. Coordinates project installation dates with customers and installers or sub contractors; updating the appropriate TBI personnel of scheduling confirmations and changes. Schedules kick off meetings for each TBI project team. Creates and updates project folders; verifying the correct documentation is in each folder. Works with the warehouse to pull and stage equipment, ensuring these goods are shipped out to the correct location with the appropriate paperwork and with a timely arrival.
• 25% - Order Maintenance – Completes order entry in the UNIX system. Communicates pricing adjustments, product availability and status of back ordered items with the Purchasing Department; presenting alternate solutions to the Project Team. Processes product changes in UNIX; debits and credits. Generates and sends invoices for down payments, progressive billings and completed projects to the client and routes necessary paper work to Accounting for posting.
• 25% - Administrative Support - Responsible for updating the Open Orders Report; specifically adding new projects, recalculating the margins to account for changes on a project and distributing the revenue over the appropriate months it will post. Sends the entire company a weekly e-mail on purchase orders received and installation status. Maintains and closes out customer files – electronic and paper copies as applicable. Shares responsibility of customer survey process, van inventory maintenance, maintaining subcontractor information, project databases, etc. with the Systems Coordinator group.
• 10% - Miscellaneous

KNOWLEDGE, SKILLS, & ABILITIES

• Excellent organizational skills.
• Ability to communicate clearly in written and verbal form. Ability to write reports and business correspondence. Ability to effectively present information and respond to questions from groups of managers, clients, customers and the general public.
• Skill in handling difficult or escalating situations in a calm and professional manner.
• Ability to calculate figures and amounts such as discounts, interest, commissions, proportions and percentages.
• Ability to define problems, collect data, establish facts and draw valid conclusions.
• Knowledge of Microsoft Word and Excel and Outlook e-mail required. Internet knowledge and the ability to use the appropriate tools to research is essential.

ESSENTIAL QUALIFICATIONS:

High school diploma or GED and two years customer service and administrative related experience. Audio/visual knowledge preferred.

While performing the duties of this job, the employee must be able sit, walk, talk or hear. The employee frequently is required to use hands to finger, handle, or feel. The employee is occasionally required to reach with hands and arms and to stoop, kneel, crouch or crawl. The employee is frequently required to lift between 30 to 50 pounds.
